Medical Associates of Erie is currently seeking a full time Front Desk Receptionist for a busy Physician Practice.
Main Duties and Responsibilities:
- Check voicemail line in the morning and retrieve messages
- Welcomes and greets all patients and visitors
- Answers phone while maintaining a polite, consistent phone manner using proper telephone etiquette
- Schedule patient appointments, make reminder calls, call patients who missed their appointments (no shows)
- Responsible for keeping the reception area clean and organized
- Facilitates patient flow by notifying physician of patients’ arrival and communicating with patients and clinical staff of unforeseen service delays
- ”Check in” patients as they arrive in a courteous manner. Responds to patient inquires in a professional and respectful manner.
- Registers new patients and updates existing patient demographics by collecting detailed patient information
- Verifies patient’s address, phone, insurance and email address each visit
- Collection of patient balances for services provided (co-pay, prior balances etc)
- Copy insurance cards
- Verify patient insurance eligibility prior to patient appointments
- Reconcile daily payments at the end of the day
- Protects patient confidentiality by making sure PHI is secured; not leaving PHI in plain sight of patients/visitors and logging off computer before leaving it unattended
- All other duties as assigned
Qualifications:
High School Diploma or GED
Skills/Knowledge:
- High School or GED
- Previous experience in an office setting
- Knowledge of clinical procedures and medical terminology
- Basic word, excel
- Telephone etiquette/customer service skills
- Previous scheduling experience using an electronic scheduling system/electronic health record preferred
- Basic computer skills

Main Function:
Medical Associates of Erie is seeking a front desk patient services coordinator for a busy ophthalmology office. This individual will answer patient phone calls and resolve questions or concerns by providing results, appointment, or practice specific clinical recommendations. Facilitate each office visit and phone call, with a focus on total patient care, to ensure the best patient experience possible.
Main Duties and Responsibilities:
- Check voicemail line in the morning and at the end of the day; retrieve and respond to messages
- Monitor and assist with phone encounters and associated tasks to ensure patients, physicians, and/or pharmacists are receiving timely communication and problem resolution (within 1 business day)
- Obtain all reports/results, screen for abnormals, scan into the patients’ electronic health record, and alert physicians
- Assist in ensuring all related reports, labs and information is filed if available in patients’ medical records prior to their appointment
- Answer phone while maintaining a polite, consistent phone manner using proper telephone etiquette
- Perform telephone triage under supervision of physician by gathering appropriate information and reviewing, preferably electronically, with physicians, providers, and/or clinical staff
- Refer life threatening conditions or conditions the office is not equipped to handle to the emergency department
- Review medical record for progress notes, specialist templates and diagnostic records to relay normal results for testing ordered by the office
- Give instructions and provide education to patients as instructed by physician
- Schedule appointments for things that cannot be solved on the phone (i.e. new problem, worsening of condition)
- Manage portal communication from patients
- Resolve patient satisfaction concerns and/or refer to Practice Manager
- Organize forms and other paperwork and facilitate completion by physicians
- Support clinical assistants and patient visit coordinator as needed
- Support normal check in and check out procedures at front desk
- Assist clinical staff in working overdue orders according to guidelines
- Protect patient confidentiality by making sure PHI is secured
- Provide clinical or clerical coverage at other MAE offices when needed
- All other duties as assigned
Skills/Knowledge:
- Exceptional customer service and phone etiquette
- Ability to maintain effective and organized systems to ensure timely patient flow
- Ability to determine correct placement of patient within office workflow for scheduling/guidance.

Medical Associates of Erie is seeking a reliable medical assistant to guarantee that each patient visit and the logistical arrangements surrounding the visit are carried out with courtesy, caring and consistency, while assisting the physician in patient care and education
Main Duties and Responsibilities:
- Assist in patient care in the exam room as directed by physician
- Perform clinical procedures under supervision of physician
- Escort patients to exam rooms, measure vital signs, including weight, blood pressure, pulse, temperature, and document all information in patient’s electronic health record
- Interview patients to make sure all information in electronic medical record is complete and current, including obtaining all necessary signed authorizations
- Review medical record for progress notes, specialist templates and diagnostic records prior to patient visit. Ensure all related reports, labs and information is filed, if available, in patient’s electronic health record. (pre-visit planning/chart prep)
- Schedule tests, surgical procedures and coordinate referrals to provide continuous care for patients
- Obtain all necessary authorizations as mandated by patient’s insurance
- Track referrals for the practice to completion (report/result received and patient notified)
- Perform lab draws, EKG’s and administer injections.
- Provide education to patients, families, and caregivers regarding medication and treatment protocol as instructed by physician
- Keep exam rooms and medication storage room stocked with adequate medical supplies, maintain instruments, prepare sterilization as required
- Take telephone messages and provide feedback and answers to patient/physician/pharmacy calls
- Triage for urgency and process messages from patients and front office staff to physicians
- Provide response to patient inquiry and concerns with attention to confidentiality
- Maintain all logs and required checks (i.e. refrigerator temperatures, emergency medications, expired medications, cold sterilization fluid change, etc.)
- Keep patients in waiting area informed of any unusual delays in physicians’ schedule
- All other duties as assigned
Other Duties:
- Assist in answering phone, scheduling appointments, making reminder calls as well as calling no shows
- Be familiar with and implement all office policies and procedures
- Attend all office meetings and training sessions
- Understand and adhere to the professional policies and standards in the Employee Handbook
- Goodwill ambassador for clinic, the hospital and the LECOM Health System by promoting awareness to the patient of all physicians and services LECOM Health provides
- Provide clinical coverage at other locations when needed
