Job summary:

The medical records clerk is the initial contact for the HIM department for record or information distribution interdepartmentally and to the public.  Assures that the health record/information is distributed according to Administrative and department policy.

Characteristic job tasks and responsibilities:                           

  • Greets and manages visitor (general public, physicians, staff).
  • Pleasant phone etiquette.
  • Answers incoming calls and processes requests or distributes calls as appropriate.
  • Promotes record confidentiality at all time due to location in department.
  • Delivers health records where needed.
  • Pulls records as needed/required by other hospital departments for continuity of care or Quality Improvement studies.
  • Gather and distribute daily mail.
  • Gather daily discharge charts.
  • Assist with copying and distributing requested materials.
  • Assist with filing and purging as needed.
  • Assists in retrieving records for physician completion.
  • Handle in person requests if correspondence not available.
  • Supervise fax machine and distribute materials as appropriate.
  • Orders weekly supplies from storeroom.
  • Maintains a good working relationship within the department and other departments.
  • Efficient use of current hospital computer software.
  • Additional assignments provided by Revenue Cycle Manager.

  • Must follow all infection control procedures and guidelines according to the policy manual.
  • Must present professionally in proper uniform according to Employee Handbook.

  • Must respect all patients’ rights according to Federal and State Regulations.
  • Must maintain confidentiality according to Federal and State Regulations.
  • Must follow all Organizational policies and procedures.
  • Must participate in continuing education as required.
  • Must possess adequate equipment skills to complete daily work tasks.
  • Must have excellent writing, organizational, interpersonal, and communication skills.
  • Ability to follow oral and written instructions.
  • Must exhibit flexibility and be able to perform successfully when challenged by changing workflow priorities.
  • The ability to work cooperatively and collegially with others, consistent with a workplace of dignity and respect and EEO rules and regulations.
  • The ability to report to work as scheduled, ready to devote full attention and energy to the important work of LECOM.
  • The ability to accept work directives from managers and supervisors in respectful and cooperative manner.
