DUTIES AND RESPONSIBILITIES:
1. Participates as a member of a multidisciplinary treatment team and provides feedback to Unit Leader and Case Manager.
2. Facilitates daily routine on the unit. These duties include:
a. Ensuring firm adherence to unit schedule
b. Passing meals
c. Providing positive support during academic instruction
d. Following a psycho-education & therapeutic curriculum designed by treatment team to lead & facilitate groups
e. Leading and participating in special activities on the unit
f. Occasionally preparing and leading groups
g. Ongoing monitoring of safety
3. Provides least restrictive intervention to ensure safe and supportive de-escalation of patients experiencing distress
a. Utilizes physical intervention in accordance with training when required to maintain physical safety of patients
4. Adheres to a Trauma Informed Approach
5. Maintains a safe and therapeutic environment and the supervision of the patients.
6. Completes timely and quality documentation, including shift note and
7. Demonstrates professional behavior and interactions at all times with patients, family members, other professionals and staff.
8. Participates in staff training programs designed to improve professional knowledge and skills that will enhance clinical expertise and patient care.
9. Executes various (administrative and organizational) duties as assigned
QUALIFICATIONS:
High School Diploma or equivalent required
B.A./B.S. in psychology or related field preferred
A minimum of one year of experience in behavioral healthcare setting preferred. Experience in residential or partial setting strongly preferred.
Must be able to read, write and speak the English language in an understandable manner.
Must be in good general health and demonstrate emotional stability. Must be able to lift up to and in excess of 25 pounds throughout the workday. Sit, stand, bend, lift and move intermittently during working hours.
REQUIRED CERTIFICATIONS:
1. CPR Certification
2. Therapeutic Holds Training
(*Both to be obtained within 60 days of hire.)

We have a group of qualified professionals who pride themselves on delivering evidence based medicine. Knowledgeable support staff are available to assist you with questions regarding scheduling, medication refills, etc. The support staff functions as a liaison between the patients and the psychiatrists. As an affiliate of the Lake Erie College of Osteopathic Medicine (LECOM), our practice is engaged in the education of future behavioral health providers. Fellows, residents, and students work closely with care team members to gain specialized knowledge in the clinical practice setting.
This role is tasked with providing a full range of patient care responsibilities for a busy outpatient mental health center. The BH Clinical Assistant I guarantees that each patient visit and the logistical arrangements surrounding the visit are carried out with courtesy, professionalism, and compassion, while assisting the physician in patient care and education. The Clinical Assistant may work with more than one specific physician based on clinic needs each day as well as willingness to work at both LIBH settings. Flexibility in scheduling is preferred as we staff our offices M-Th 8-6:30pm, Friday 8-5. Experience working in behavioral health and/or outpatient office setting is highly preferred.
Main Duties and Responsibilities:
Direct Patient Care
· Greet patients warmly, escort patients to exam rooms.
· Measure vital signs, including weight, blood pressure, pulse, temperature, and document all information in patient’s electronic health record.
· Interview patients to make sure all information in electronic medical record is complete and current, including obtaining all necessary signed documents.
· Assist in patient care in the exam room as directed by physician.
· Perform clinical procedures under supervision of physician.
· Perform screenings per provider guidelines.
· Perform lab draws and administer injections.
· Provide education to patients, families, and caregivers regarding medication and treatment protocol as instructed by physician.
· Keep patients in waiting area informed of any unusual delays in physician’s schedule.
Administrative Patient Care
· Review medical record for progress notes, specialist templates and diagnostic records prior to patient visit.
· Ensure all related reports, labs and information is filed, if available, in patient’s electronic health record.
· Schedule appointments, tests, and procedures to provide continuous care for patients.
· Support the obtaining of all necessary authorizations as mandated by patient’s insurance.
· Process prescription refills, and direct/instruct patients and/or family members regarding prescription and treatment instructions according to provider guidelines and orders.
· Aid in coordination and administration of long acting injectables.
· Assist with coordination of Clozaril patient care when requested by Office Lead and/or Clinic Director.
· Support the tracking of patient appointments, tests, and procedures through completion and maintain documentation of efforts in EHR.
· Keep exam rooms and medication storage areas stocked with adequate medical supplies.
· Take telephone messages and provide feedback and answers to patient/physician/pharmacy calls.
· Triage for urgency and process messages from patients and front office staff to physicians.
· Provide response to patient inquiry and concerns with attention to confidentiality.
· Document all patient interactions and contact in the patient chart.
· Ensure daily documentation meets standards, regulations, policies, and practices.
· Keep appropriate records within patient’s EHR chart.
· Maintain all logs and required checks (i.e. refrigerator temperatures, emergency medications, expired medications, etc.)
· All other duties as assigned
Other Duties:
1. Assist in answering phone, scheduling appointments, and calling no-shows.
2. Be familiar with and implement all office policies and procedures.
3. Clean equipment, treatment spaces, etc. between visits to maintain infection control as needed.
4. Attend all office meetings and training sessions on time.
5. Perform a variety of routine clerical duties including but not limited to filing, copying, faxing, sorting mail and posting, etc.
6. Understand and adhere to the professional policies and standards in the Employee Handbook.
7. Act as the Goodwill ambassador for the clinic, the hospital and the LECOM Health System by promoting awareness to the patient of all physicians and services LECOM Health provides.
8. Provide clinical coverage at other locations when needed.

Under the direct supervision of the members of the supervisory staff, the Dietary Aide performs a variety of patient food service and dish room duties and other related tasks.
DUTIES AND RESPONSIBILITIES:
1. Assembles prepared food on trays for general and therapeutic diets.
2. Maintains tray line in a clean, neat and orderly manner.
3. Delivers food trucks to patient floors as specified. Returns them to the dish room at designated.
4. Tends and loads dish machine in patient/employee dish room.
5. Washes certain items by hand such as pot, pans and utensils.
6. Disposes of trash and garbage as scheduled. Cleans and sanitizes trash
containers as they are emptied.
7. Cleans and sanitizes all food and supply carts in the department at the end of each shift.
8. Is responsible for cleaning all work tables and surrounding work areas in the dish room and pot washing area at the end of each meal period. Sanitizes after cleaning.
9. Sweeps and mops floors throughout the department at designated times.
10. Maintains clean and sanitary dining areas prior to and following each meal period.
11. Assists in preparing such items as salads, dessert or nourishments.
12. Assists in the storage of food and supplies following deliveries using the first-in, first-out method.
13. Prepares and delivers late trays as instructed.
14. Performs heavy cleaning following the cleaning schedule.
15. Assists in the set-up, service and clean-up of special meetings and functions.
16. Must maintain a current record of attendance to the required inservices as determined by the institution on an annual basis.

· Register patients and update existing patient demographics by collecting detailed information including personal and financial information along with correct system information.
· Confirm and verify insurance benefits with the appropriate carrier via eligibility verification and/or appropriate insurance websites.
· Scan insurance card, driver’s license and order(s).
· Print face sheet(s), labels and apply arm bands on patients.
· Validate physician’s order for all appropriate information.
· Contact physician’s office if there is no order on file/or need new standing order.
· Collect any co-payments due.
· Complete all applicable forms and necessary communications while obtaining signature for consent to treatment and financial responsibility, HIPAA and Photo Consents.
· Notify departments of patient’s arrival.
· Direct patients to appropriate department for testing.
· File orders in drawer alphabetically as they come in from fax machine.
· Purge orders from drawer that are over 6 months old; verify if testing was done; send to physician’s office to let them know patient did have done at our facility.
· Follow up calls made to Physician’s offices if information not received.
· Look up Physician information if ordering physician is not in the system and add it; Give information to Special Projects Personnel.
· Late Add Ons are registered if not done by pre-reg/insurance verification.
· Assist with other tasks as assigned.

- Responsible for investigating and evaluating recurring denial issues and reporting them to the Revenue Cycle Manager.
- May be responsible for coverage and support of managing collections of overdue personal balances.
- Responsible for handling appeals on claims.
- Compile information for Revenue Cycle Manager to review for final evaluations prior to write off.
- Responsible for reviewing patient statements if patient has questions.
- Responsible for reviewing procedures and/or office visits to verify accuracy.
- Accurately processes the charges in the computer system and balances at the end of the day.
- Prepares and sends electronic and paper claims to insurance companies.
- Assists in posting payments
- Substitutes Receptionist position as necessary.
- Upload to Medical Record System as necessary.
- Assist with other tasks as assigned by the Revenue Cycle Manager

We are seeking a Project Manager/Executive Assistant to join our growing team where you will provide high-level administrative support to the assigned leader and leadership team, ensuring smooth and efficient operations within the organization and for the assigned leader/s, managing their schedules, communications, and information flow to optimize their productivity.
The Project Manager/Executive Assistant works within the LECOM clinical services to facilitate, coordinate and monitor project-related activities, goals, and objectives in accordance with requirements. Projects may include grants.
Responsibilities include:
- Provide project coordination and/or facilitation support for project-related meetings and activities.
- Prepare for project-related meetings/ activities by conducting scheduling polls, sending calendar invites, creating agendas, and taking meeting minutes.
- Ensure that all documents, meeting minutes, project resources, etc. are current and uploaded.
- Oversee the development and implementation plans of the projects and grants in coordination with the Project Director to ensure compliance with targeted timelines.
- Participate in the development of required documents and required reports (when applicable).
- Maintain and develop outcome reports and submit analysis to the leadership team.
- Participates in the development of data collection tools and makes data-driven decisions.
- Produce reports, presentations and briefs
- Act as the point of contact between the President and internal/external clients
- Handle requests and queries appropriately with the highest level of customer service
- Maintain the President's professional calendar
- Undertake the tasks of receiving calls, taking messages and routing correspondence
- Make travel arrangements
- Maintain diary, Arrange meetings and appointments and provide reminders
- Take dictation and minutes and accurately enter data
- Develop and carry out an efficient documentation and filing system
Requirements:
- Proven experience as a Project Manager and/or an Executive Administrative Assistant, or in other secretarial position
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office
- Proficiency in English
- Exemplary planning and time management skills
- Up-to-date with advancements in office applications and equipment
- Ability to multi-task and prioritize daily workload
- High level verbal and written communications skills

As an affiliate of the Lake Erie College of Osteopathic Medicine (LECOM), our practice is engaged in the education of future behavioral health providers. Fellows, residents, and students work closely with care team members to gain specialized knowledge in the clinical practice setting. This role is tasked with providing a full range of patient care responsibilities for a busy outpatient mental health center. The BH Clinical Assistant I guarantees that each patient visit and the logistical arrangements surrounding the visit are carried out with courtesy, professionalism, and compassion, while assisting the physician in patient care and education. The Clinical Assistant may work with more than one specific physician based on clinic needs each day as well as willingness to work at both LIBH settings. Flexibility in scheduling is preferred as we staff our offices M-Th 8-6:30pm, Friday 8-5. Experience working in behavioral health and/or outpatient office setting is highly preferred.
Main Duties and Responsibilities:
- Direct Patient Care · Greet patients warmly, escort patients to exam rooms.
- Measure vital signs, including weight, blood pressure, pulse, temperature, and document all information in patient’s electronic health record.
- Interview patients to make sure all information in electronic medical record is complete and current, including obtaining all necessary signed documents.
- Assist in patient care in the exam room as directed by physician.
- Perform clinical procedures under supervision of physician.
- Perform screenings per provider guidelines.
- Perform lab draws and administer injections.
- Provide education to patients, families, and caregivers regarding medication and treatment protocol as instructed by physician.
- Keep patients in waiting area informed of any unusual delays in physician’s schedule. Administrative Patient Care
- Review medical record for progress notes, specialist templates and diagnostic records prior to patient visit.
- Ensure all related reports, labs and information is filed, if available, in patient’s electronic health record.
- Schedule appointments, tests, and procedures to provide continuous care for patients.
- Support the obtaining of all necessary authorizations as mandated by patient’s insurance.
- Process prescription refills, and direct/instruct patients and/or family members regarding prescription and treatment instructions according to provider guidelines and orders.
- Aid in coordination and administration of long acting injectables.
- Assist with coordination of Clozaril patient care when requested by Office Lead and/or Clinic Director.
- Support the tracking of patient appointments, tests, and procedures through completion and maintain documentation of efforts in EHR.
- Keep exam rooms and medication storage areas stocked with adequate medical supplies.
- Take telephone messages and provide feedback and answers to patient/physician/pharmacy calls.
- Triage for urgency and process messages from patients and front office staff to physicians.
- Provide response to patient inquiry and concerns with attention to confidentiality.
- Document all patient interactions and contact in the patient chart.
- Ensure daily documentation meets standards, regulations, policies, and practices.
- Keep appropriate records within patient’s EHR chart.
- Maintain all logs and required checks (i.e. refrigerator temperatures, emergency medications, expired medications, etc.)
- All other duties as assigned
Other Duties:
- Assist in answering phone, scheduling appointments, and calling no-shows.
- Be familiar with and implement all office policies and procedures.
- Clean equipment, treatment spaces, etc. between visits to maintain infection control as needed.
- Attend all office meetings and training sessions on time.
- Perform a variety of routine clerical duties including but not limited to filing, copying, faxing, sorting mail and posting, etc.
- Understand and adhere to the professional policies and standards in the Employee Handbook.
- Act as the Goodwill ambassador for the clinic, the hospital and the LECOM Health System by promoting awareness to the patient of all physicians and services LECOM Health provides.
- Provide clinical coverage at other locations when needed.
